This photo was taken on a recent multi-car job supporting a private airport movement in Southampton. On the day we had an E-Class estate, three Mercedes V-Class vehicles and our BMW i7 working together (with another vehicle already away from the pick-up point). It’s a good snapshot of what “behind the scenes” really looks like: getting the right vehicles to the right place, in the right order, at the right time — while keeping everything calm for the traveller and simple for the organiser.

If you’re a PA or EA coordinating travel for a director, VIP guest or visiting team, this is exactly the type of job where professional planning makes the difference. Multi-vehicle movements need clear timing, a sensible staging plan, reliable driver communications and enough flexibility to handle the inevitable changes that come with air travel.

A multi-car job is more than “just sending a few vehicles”

When a client asks for multiple vehicles to and from a private airport, it usually means one of three things:

  • A group travelling together but arriving in stages
  • Different drop-off points (hotel, office, residence, venue)
  • Or a mix of people and luggage requirements that simply doesn’t fit neatly into one car

Either way, the job becomes about coordination. The vehicles need to be staged correctly, drivers must be briefed properly, and everyone needs to know the plan — without creating a fuss on the day.

That’s why we treat multi-car work as an “operation”, not a booking. We plan:

  • Vehicle mix: saloon/estate for lighter loads, V-Class for groups and luggage, i7 for a flagship executive journey
  • Order of movement: who goes first, who waits, who is positioned closest and why
  • Communication: one clear point of contact and driver updates that don’t overwhelm the client
  • Contingency: traffic, timing changes, or a last-minute additional stop

Why this matters for PAs and EAs

For a PA or EA, the biggest headache is last-minute uncertainty: “Where is the driver?” “Which car is for which person?” “Can we move the timing by 20 minutes?” “Where do we put the luggage?”

Our aim is to remove that uncertainty by working in a structured way:

  • We confirm the essentials early (names, numbers, timings, luggage)
  • We agree a simple plan that can flex if needed
  • We keep comms short, relevant, and calm
  • We focus on making the traveller’s experience feel effortless

When you’re organising high-value travel, the best compliment you can get is: “It all just worked.”

The vehicle mix: why it’s useful (and why clients notice)

On this job we had a strong spread:

  • Mercedes E-Class estate: ideal for executive travel with extra boot space
  • Mercedes V-Class (x3): comfortable, practical, excellent for groups and luggage
  • BMW i7: a standout option for VIP travel where the journey itself matters

This mix gives us flexibility — and it allows the organiser to match the vehicle to the traveller, not the other way round.

Local work, but still precision work

Even when the mileage is “local”, private airport work demands precision. The timings, access points, security processes and handover points can change the feel of a job in an instant. We keep it professional and compliant, with licensed and insured private hire operations and drivers who understand what good looks like — especially when the people travelling are used to high standards.

A simple checklist that makes multi-car jobs run smoothly

If you’re booking multiple vehicles, these details are gold:

  • Passenger names and mobile numbers
  • Number of passengers per vehicle (not just total)
  • Luggage count (large cases + hand luggage)
  • Any special requirements (tight timing, meeting a flight, event start time)
  • Drop-offs in order (and whether anyone needs to arrive first)

If plans change on the day, tell us early — we’ll adapt. That flexibility is part of the service.
